How we look after your data

We always do the right thing, so want to keep your data safe and secure. When using our website and in every communication, this policy will explain how, why, what and where we store and manage your data.

Here at Harvey Water Softeners we understand that privacy is important, so we carefully consider how your personal data is used and shared.

  • We only use your data to enhance the experience you have with Harvey Water Softeners.
  • We like to keep things simple, so won’t bombard you or confuse you with information you won’t understand.
  • We do the right thing, so we’ll protect your data like it’s our own.
  • You decide what you want to hear about – we won’t send you any spam.

Why we have your data:

 

What data we collect: 
We may collect some or all of the following personal and non-personal data:

    • if you have entered information via our website; including information submitted via a webform and/or our recruitment page.
    • this data includes any personal data that’s been submitted, including; name, business name, address, telephone number, postcode and email address.
    • if we gathered your information via another source, for example by phone, email or our door canvassing team.
    • if you have visited our website and accepted our cookie policy. This information may include all or some of the following; your IP address, geographical location, referral source and length of visit.

 

More about cookies:
We may send a cookie which may be stored by your browser on your computer’s hard drive. It depends on the options you checked when the cookie policy first pops up when you first enter the website.

We may use the information we obtain from the cookie in the administration of this website, to improve the website’s usability and for marketing purposes. We may also use that information to recognise your computer when you visit our website, and to personalise our website for you.

(For example, in Internet Explorer you can refuse all cookies by clicking “Tools”, “Internet Options”, “Privacy”, and selecting “Block all cookies” using the sliding selector.) We use Google Analytics to analyse the use of this website. Google Analytics generates statistical and other information about website use by means of cookies, which are stored on users’ computers. The information generated relating to our website is used to create reports about the use of the website. Google will store this information. What we do with your data:
All personal data is processed and stored securely for no longer than is necessary.

 

Purchasing a water softener
If you go on to purchase a water softener, we will store your data for 15 years as this allows us to contact you regarding any servicing information and means your details are on file if you have any queries.

If you go through the demonstration and/or installation process, but don’t go onto purchase a water softener, we will delete your data after six years. This means if you call up again to get a quote, we will use the previous information stored on you – but won’t use the data to contact you again.

If you don’t express any interest in getting a water softener, we will delete the data you entered three months after it was entered via either the website, phone, email, written letter or any other means.

By submitting your details and agreeing to our privacy policy, we are contacting you as a result of your submission and your interest in the product. This interest may also be expressed via a leaflet response, a call into our office or any other means where you have submitted your information or tried to make contact with us regarding information about a water softener.

Once you have submitted the details via our website, leaflet response or call we will try to make contact with you. If we can’t contact you first time, we will keep trying by using different means such as calling, emailing and texting. We will try to contact you regularly for up to four weeks after you have submitted your information, until we can get hold of you. This is due to your legitimate interest in getting information about a water softener. After four weeks, your lead will be marked as ‘buried’ and we will no longer contact you

Dualflo 
If you register as a Dualflo account holder, we will hold your details on our internal system until you tell us otherwise. By being a Dualflo account holder, we have your details on file as we have a business contract with you.

If you register your Dualflo Water Softener’s warranty by entering the details onto the Dualflo website, this information will be sent to the Harvey Water Softener service team.

If you enter your details for ‘find your local dealer’ on the Dualflo website, the information will be sent to registration@dualflo.dpc.uk.com. Our Dualflo account manager will call you back via the information submitted, to discuss with you further. All Dualflo account holders are contacted via our email address sales@dualflo.dpc.uk.com. The email accounts are managed by our Dualflo account manager who will only use and access your personal data when requested by you. Your information will be deleted three months after ending any business contracts with us.

The information submitted via the Dualflo website is only shared with third parties when submitted via the ‘find a local dealer’ form and you have given us consent to share it. This will be done verbally over the phone and to help you find a dealer if we can’t help you out directly. Your data will only be shared with your explicit consent.

Occasionally we send emails to our Dualflo account holders. There will always be an option at the bottom of these to unsubscribe, however if you want to manage your data at any time please email gdpr@harvey.co.uk.

We will comply with our obligations and safeguard your rights under GDPR at all times. Our use of personal data will always have a lawful basis, either because it’s necessary for our performance of a contract with you or because it is in our legitimate interest to offer you services that we reasonably believe you will have an interest in obtaining from us.

We may use your data for the following purposes:

  • to make contact with you via phone when showing your interest in purchasing a water softener. This will be via the number you enter on our website, via email, in the reply card from our leaflet etc.
  • to contact you after submitting your information via our Dualflo website
  • to send goods purchased via the website or our stores to supply you with the requested services
  • to send email notifications and/or letters about servicing requirements regarding the Harvey Water Softener
  • to provide and manage service contracts with you
  • to reply to emails from you
  • we only use the data to benefit you. We will not send any unsolicited marketing or spam and will take all reasonable steps to ensure we fully protect your rights
  • you have the right to object to our legitimate interest and request that we delete it at any time.

 

How we store your data:  
We only store your data for as long as we need to and/or as long as you consent for us to do so. We store your data on our internal CRM system that is hosted by Harvey Water Softeners.

Your data is stored as we offer a service and product to you, so it’s there just in case we need it to contact you. We anonymise the personal data we have on you, so we can only access it when you ask us to.

 

How we secure your data:
We take steps internally to ensure your data is kept safe and secure:

  • all Harvey Water Softeners staff are committed to confidentiality
  • we anonymise your data by using your personal ID number in all internal communication and on our CRM system (FileMaker)
  • for any data that we have for orders made via the phone or direct debit information, we shred periodically to get rid of it
  • we ensure resilience of our processing systems and processes in place that help us restore personal data.

 

Do we share your data?
We do not and will not share any of your data with third party companies beyond the Harvey Water Softeners group. Our Harvey Water Softeners group includes TwinTec, Minimax, Dualflo, Softener Supplies and the Harvey Water Softener brands.

If you entered your postcode on our website, it is assigned to one of our local authorised dealers, we will pass this information onto them to process. This local authorised dealer will contact you, normally via the mobile number entered, using the information you submitted via the Harvey Water Softeners website and its group of websites.

The local authorised dealer will not share this data with any third parties beyond the Harvey Water Softener group. Each Harvey Water Softeners company is bound by contractual clauses that mean that each will adhere to the same standards of data protection as our companies in the European Union.

If we need to obtain processing services from any third party, such as the hosting of a CRM platform, we will take all reasonable steps to ensure that your data will be handled safely, securely, and in accordance with your rights, our obligations, and the obligations of the third party under the law.

In certain circumstances, we may be legally required to share certain data held by us, which may include your Personal Data, for example, where we are involved in legal proceedings, where we are complying with legal requirements, a court order, or a governmental authority.

 

How can you control your data?
When we collect your Personal Data, you may be given options to restrict our use of your data. In particular, we aim to give you strong controls on our use of your data for marketing purposes (including the ability to opt-out of receiving emails from us which you may do by unsubscribing using the links provided in our emails and at the point of providing your details).

At any time, you can go onto the preference centre on our website to update / delete the data we hold on you.

If you unsubscribe from our email communications, we will delete the email address associated with it. All service agreements will be sent to you via written letter to the address associated with your customer ID.

 

How can you access your data? 
You have the right to ask for a copy of any of your Personal Data held by us (where such data is held). Under the GDPR, no fee is payable and we will provide any and all information in response to your request free of charge. You also have the right to ask us to rectify or erase your data.
